An invoice needs five things to get paid without a follow-up email: who is billing, who is paying, a unique number and date, what was supplied at what price, and a total with tax shown the way the law in your country expects. The free invoice generator below handles all of it, from a single US sales tax rate to India’s CGST and SGST split, and gives you a clean PDF in about a minute.

Fill in your details, add line items, pick a currency (USD, INR, EUR, GBP, AUD or CAD) and watch the live preview update. Download the PDF or print it. There is no account to create, and your details and logo stay on your device.

How the Tool Rounds Totals and Handles GST, VAT and Privacy

  • Every amount is calculated in whole cents or paise and rounded half up to two decimals, so the PDF total matches what your accounting software will show.
  • Choose no tax, a single rate (sales tax or VAT), India GST as CGST plus SGST for supplies within a state, or IGST for supplies to another state.
  • Discounts apply to the subtotal before tax, which is how the taxable value is worked out on a GST invoice.
  • The PDF is built in your browser. Nothing you type, and no logo you add, is uploaded.

The PDF is built in your browser with the jsPDF library and uses a standard Latin font, so rupee amounts print as Rs. and characters outside Western European alphabets show as ?. Check tax rates and invoice rules for your country (for GST invoices in India, the CGST rules list the required fields) before sending.

How to Create an Invoice With This Generator

  • Invoice details: keep the number unique and sequential (INV-0001, INV-0002 and so on). Pick payment terms such as Net 15 or Net 30 and the due date fills itself in; type your own date and the terms switch to Custom.
  • From and Bill to: your business name, address and contact details, then the client’s. Add a tax ID if you have one. The label changes to GSTIN when you choose a GST option, and a Place of supply field appears.
  • Logo: optional. PNG, JPG, WebP or GIF up to 2 MB. Your browser reads the file and resizes it locally; it is never sent to a server.
  • Line items: a description, quantity and rate for each item. Quantities can have up to three decimals, so 1.5 hours or 2.25 kg both work. Add or remove lines as needed. GST options add an HSN/SAC column.
  • Tax and discount: choose the tax type and rate, then a percentage or fixed discount. Tick the round-off box if you want the total rounded to the nearest rupee, dollar or pound.
  • Notes and payment instructions: bank details, UPI ID, a payment link or your late-fee policy.

Press Download PDF for an A4 or US Letter file named after the invoice number, or Print to send the preview to a printer or to your browser’s Save as PDF option. Long invoices run onto extra pages with the table header repeated and page numbers in the footer.

How the Totals Are Calculated

Spreadsheets and many online templates work in floating-point numbers, which is why an invoice built in one can come out a cent different from the client’s books. This generator converts every amount to whole cents (or paise) first and rounds once at each step, half up, to two decimals:

  • Line amount = quantity × rate, rounded to two decimals
  • Subtotal = sum of line amounts
  • Taxable amount = subtotal − discount (a percentage discount is rounded first)
  • Tax = taxable amount × rate, rounded. Under GST, CGST and SGST are each half the rate and each rounded separately.
  • Total = taxable amount + tax, plus an optional round-off line

We tested the calculator against 256 randomly generated invoices, with odd quantities, discounts and tax rates such as 8.25% and 0.25%, and every total matched an independent calculation to the cent.

Worked Example: A GST Invoice in India

Press Load example to see this one. A Pune design studio bills a Mumbai client. Both are in Maharashtra, so the supply is intra-state and 18% GST splits into 9% CGST and 9% SGST. The studio gives a 5% discount.

LineCalculationAmount
Logo design and brand guidelines1 × ₹45,000₹45,000.00
Website landing page design1 × ₹30,000₹30,000.00
Social media post templates10 × ₹1,500₹15,000.00
Subtotal₹90,000.00
Discount5% of ₹90,000−₹4,500.00
Taxable amount₹90,000 − ₹4,500₹85,500.00
CGST9% of ₹85,500₹7,695.00
SGST9% of ₹85,500₹7,695.00
Total₹1,00,890.00

Had the client been in Karnataka, you would pick IGST instead: 18% of ₹85,500 is ₹15,390, giving the same ₹1,00,890 total but as a single tax line. Since the GST Council’s 56th meeting, most goods and services fall in the 5% or 18% slabs, with 40% for a short list of luxury and sin goods, effective 22 September 2025 according to KPMG’s summary of the Council’s recommendations. Always use the rate notified for your HSN or SAC code.

Worked Example: A US Invoice With Sales Tax

A print shop in a city with a combined 8.25% sales tax rate sells 500 flyers at $0.18, three banners at $42.50 and charges a $60 design fee.

LineCalculationAmount
Flyers500 × $0.18$90.00
Banners3 × $42.50$127.50
Design fee1 × $60.00$60.00
Subtotal$277.50
Sales tax8.25% of $277.50 = $22.89375$22.89
Total$300.39

Whether a design fee or other service is taxable depends on the state, so check with your state’s revenue department. The generator applies one rate to the whole invoice; if only some lines are taxable, issue separate invoices or ask your accountant how to show it.

What a GST Tax Invoice Must Show

Rule 46 of the CGST Rules lists the particulars. The generator covers the ones most small suppliers need:

  • Supplier and recipient: name, address and GSTIN of both, where the recipient is registered.
  • Invoice number: a consecutive serial number of up to 16 characters using letters, numbers, hyphens or slashes, unique for the financial year. The example’s NS/2026-27/014 follows that pattern.
  • Goods or services: description, HSN or SAC code, quantity and value.
  • Tax: taxable value after discount, plus the rate and amount of each tax (CGST, SGST or IGST).
  • Place of supply: with the state name, required for inter-state supplies.

Rule 46 also covers items the tool leaves to you: a reverse-charge statement where it applies (add it in Notes), a signature unless the invoice is issued electronically, and the invoice reference number and QR code for businesses that must use e-invoicing. If your turnover puts you under e-invoicing, generate B2B invoices through your GST software instead.

Tips for Getting Paid Faster

  • Invoice the day the work is done: payment terms only start counting from the invoice date.
  • Make paying easy: put the bank details, UPI ID or payment link in the payment instructions box, not in a separate email.
  • Use specific descriptions: “Homepage redesign, two revision rounds” gets approved faster than “Design work”.
  • Price for your real costs: if every invoice feels thin, rerun your numbers with our freelance hourly rate calculator and break-even calculator.
  • Keep a record: save every PDF in one folder by financial year, or move to bookkeeping software once volumes grow. Our comparison of QuickBooks Solopreneur alternatives covers apps that track invoices for you.

Is It Free, Is Anything Uploaded and Why Rs. in the PDF?

Is This Invoice Generator Really Free?

Yes. There is no sign-up, no watermark and no limit on the number of invoices. The only thing the page downloads is the open-source jsPDF library it uses to build the PDF.

Are My Invoice Details Saved or Uploaded?

No. Everything, including your logo, stays in your browser and is cleared when you close or reload the page. Keep the downloaded PDF as your record.

Can I Make a GST Invoice With This Tool?

Yes. Choose CGST plus SGST for a supply within your state or IGST for a supply to another state, enter GSTINs, HSN or SAC codes and the place of supply, and the document is titled Tax Invoice. Businesses covered by e-invoicing still need to register B2B invoices on the government’s invoice registration portal.

Why Does the PDF Show Rs. Instead of the Rupee Symbol?

The PDF uses a standard built-in font so the file stays small and opens anywhere, and that font has no ₹ glyph. Amounts print as Rs. with Indian digit grouping, and the on-screen preview and printed version show ₹.

Should a Discount Be Applied Before or After Tax?

A discount shown on the invoice at the time of supply reduces the taxable value, so tax is charged on the discounted amount. That is how the generator works.
