Xero Gemini Integration: What Small Businesses Can Ask Their Books

Xero’s new Gemini app answers questions from your live ledger. We cover what it reads, where it works, plan costs and how it compares with ChatGPT and Claude.

Xero’s books can now be questioned in plain English inside Google Gemini. The Xero Gemini integration, announced from Wellington on 14 October 2026, connects a live Xero organisation to the Gemini app so an owner or bookkeeper can ask for a profit and loss, overdue invoices or the cash position and get an answer drawn from the ledger as it stands, not from last week’s export. It works wherever Gemini Apps run except the UK, the European Economic Area, Switzerland and Nigeria, which means Xero users and outsourced bookkeepers in India, the US, Australia and the UAE can use it now.

Xero says it is the first financial management platform with a connected app for Gemini. That claim matters less than the practical questions: what the app can read, what it is allowed to change, which Xero plan you are paying for, and whether Gemini is the right chat assistant when Xero also plugs into ChatGPT and Claude.

Five Data Areas, Confirmation Before Changes and Country Exclusions

  • The app reads live Xero data across five areas: performance, receivables, payables, visual reports, and organisation and contact details.
  • Anything that changes your books or contacts someone outside, such as issuing an invoice or sending a reminder, needs your explicit confirmation first.
  • It is unavailable in the UK, the EEA, Switzerland and Nigeria. India is a supported Gemini country and is not on Xero’s exclusion list.
  • Scheduled routines through Gemini’s tasks toggle are announced as coming soon, for eligible plans only.
  • US Xero plans run from $27 to $97 a month at list price, with a 90% discount for six months on new sign-ups until 2 November 2026.

What the Xero App in Gemini Reads From Your Books

Xero groups the app’s reach into five areas in its launch release. The integration runs on JAX, the agentic layer Xero has been building into its software, and the company says the two products stay in sync, so a payment reconciled ten minutes ago should show up in the next answer.

AreaWhat Gemini can pull from Xero
Financial health and performanceProfit and loss, income and expense tracking, balance sheet, cash position
Sales and receivablesOverdue balances, draft invoice summaries, highest-revenue customers, repeating invoices and subscriptions
Purchases and payablesOutstanding payables, overdue bills, what is owed to which supplier
Visual reportsCharts inside the chat, such as net profit or loss graphs and aged receivables distribution
Organisation and contactsBusiness details, base currency, customer and supplier contact information

Questions Worth Asking Gemini About Your Xero Data

The examples Xero and analyst firm Techaisle published lean towards the weekly jobs that eat an owner’s Monday morning. Phrased the way you would phrase them to a bookkeeper, they look like this:

JobPrompt to tryXero data behind the answer
Chase cash“Which invoices are overdue, and by how many days?”Receivables, aged receivables
Rank customers“Who were my top five customers by revenue this year, and which of them still owe me?”Sales by contact, outstanding balances
Plan payments“List bills due in the next 14 days and the total.”Payables, overdue bills
Monthly check“Compare net profit this month with last month and chart it.”Profit and loss, visual reports
Quarter review“Compare this quarter with last and draft a one-page agenda for my accountant.”Profit and loss, balance sheet
Practice triage“Which of my clients have the oldest unpaid invoices?”Receivables across client organisations

The last row is the one accounting practices will care about. Xero’s product blog says a single sign-in connects a practice’s client portfolio and lets an accountant move between client organisations without leaving Gemini. For an Indian firm doing offshore bookkeeping for 30 Australian or American clients, that is the difference between one chat window and 30 logins.

A word on prompting. Gemini is answering from figures, but it is still a language model choosing which figures to fetch. Ask for a date range and a currency every time (“for 1 to 30 September, in AUD”) and check one number against the Xero report before you forward anything to a client.

Where the Xero Gemini Integration Works, and Where It Does Not

Availability follows Google’s own Gemini footprint, minus four carve-outs. Xero lists the exclusions as the European Economic Area, Nigeria, Switzerland and the United Kingdom. All four sit on Google’s list of supported Gemini countries, so the gap is Xero’s choice for this app.

  • Available: India, the United States, Australia and every other Gemini-supported country outside the four exclusions.
  • Not available: the UK, all EEA members (the EU plus Iceland, Liechtenstein and Norway), Switzerland and Nigeria.
  • UK firms: practices there are shut out of the Gemini version for now.

For Indian readers the relevant group is specific: bookkeeping and CA firms in India that keep Xero files for overseas clients, and Indian founders whose US or Australian entity runs on Xero. Both sit in a supported country, so they can connect today.

What Xero Plan You Need, and What It Costs

Xero offers the Gemini app to its customers, and the only plan condition in its launch material is that the upcoming scheduled tasks need an “eligible plan”. The cost to plan for is the Xero subscription itself. US list prices, checked on Xero’s US pricing page (data as of October 2026):

PlanList pricePromo price (first 6 months)Invoices and billsWorth knowing
Early$27/month$2.70/month20 invoices, 5 billsAuto-reconcile is a $5/month add-on; no multi-currency
Growing$59/month$5.90/monthNo stated capInvoice and bill automation, 60-day cash flow forecast, 3 budgets
Established$97/month$9.70/monthNo stated capMulti-currency, project tracking, expense claims, 180-day forecast

The promotion is 90% off the base plan for six months for new US customers buying their first organisation, open until 2 November 2026. It does not discount add-ons or payment fees. Xero Payroll, powered by Gusto, costs $36 a month plus $6 per employee or contractor on any plan.

First-Year Cost, Worked Out

Six discounted months plus six at list price gives the real year-one bill for a new US sign-up:

PlanMonths 1 to 6Months 7 to 12Year oneFull year at list
Early$16.20$162.00$178.20$324.00
Early with auto-reconcile$46.20$192.00$238.20$384.00
Growing$35.40$354.00$389.40$708.00
Established$58.20$582.00$640.20$1,164.00

The Early plan’s 20-invoice limit is the trap. A business that wants Gemini to chase overdue invoices is, almost by definition, issuing more than 20 a month. Growing is the realistic floor for anyone who expects to use the receivables prompts above. If you only need clean invoices and do not want a ledger yet, our free invoice generator covers that without a subscription.

Gemini itself has its own consumer and Workspace plans. Xero’s blog leaves the choice of Gemini plan and account settings to the user, so check your Google account’s data and activity settings before connecting a client’s books.

Gemini, ChatGPT or Claude: Picking a Xero AI Connector

Gemini is the fourth assistant Xero plugs into. The company’s October release names Microsoft 365, Claude, Claude for Small Business and ChatGPT as existing integrations. The 16 September 2026 post on the ChatGPT and Claude for Small Business launches gives enough detail for a side-by-side:

  • Pick Gemini if: your business already runs on Gmail and Google Workspace. The planned Xero-plus-Gmail routines, such as drafting overdue-invoice follow-ups, are the clearest point of difference in Xero’s announcements.
  • Pick Claude for Small Business if: you want packaged month-end and AP preparation that returns work for an accountant to review, rather than open-ended chat.
  • Pick ChatGPT if: your team already pays for ChatGPT and wants to build its own workflows on Xero data, or a developer wants to work with it in Codex.
  • Look elsewhere if: you are a UK or EU practice, because the Gemini version is closed to you.

How Xero Handles Your Data and the Confirmation Step

Handing a ledger to a chatbot is the part that makes accountants wince, and Xero’s launch material addresses it directly. The commitments, as published:

  • Session-only use: financial information shared between Xero and Gemini is used only for the user’s session.
  • No model training: Xero data is not used to train Google’s Gemini models.
  • Existing controls apply: data is governed by the controls already in your Gemini and Gmail accounts.
  • Human sign-off: any action that changes financial data or reaches someone outside the business, such as issuing an invoice or sending a payment reminder, needs explicit confirmation in the connected app before it runs. Xero files this under its “Accountable Intelligence” commitment.

The confirmation rule is the sensible line. Reading is cheap to get wrong because you can check the report; sending a reminder to the wrong customer is not. Practices should still write down who may connect client books to an AI assistant and on which account. Our guide to an AI acceptable use policy for a small business has a template that covers exactly this kind of access.

Why Gemini’s Answers Are Only as Good as Your Ledger

Live data cuts both ways. IBTimes UK pointed out that incomplete, uncoded or draft records in Xero can skew Gemini’s answers, which is obvious once said and easy to forget at 9 pm before a client call. Three habits keep the answers honest:

  • Reconcile before you ask: unreconciled bank lines mean the cash position Gemini quotes is the book balance, not the bank’s.
  • Clear old drafts: draft invoices appear in Xero’s own list of what the app summarises, so a pile of abandoned drafts will inflate any “what’s pending” answer.
  • Code consistently: profit comparisons only mean something if the same costs land in the same accounts each month. A simple expense categorisation template helps if your coding has drifted.

Our view: the Gemini app is a fast read-out of a well-kept ledger and a poor substitute for keeping one. The pattern resembles how retrieval-augmented AI works generally, where the model is only as reliable as the records it fetches. Owners who reconcile weekly will get real value; owners hoping it will tidy a messy file will get confident-sounding wrong numbers.

What Xero Says Is Coming to the Gemini App

The headline promise is Gemini Tasks. Customers on eligible plans will get a tasks toggle in the Gemini app to set time-based routines, and Xero’s two examples are a daily summary of pending bills and cash position, and overdue-invoice follow-ups prepared from Xero and Gmail together. Until it arrives, treat the Gemini app as a question-and-answer tool and keep your existing reminder settings in Xero switched on.

Xero and Gemini Questions

Does Xero Work With Google Gemini?

Yes. Since 14 October 2026 Xero has offered a connected app for Gemini that pulls live data on profit and loss, cash, receivables, payables and contacts into Gemini conversations.

Is the Xero Gemini Integration Available in India?

Yes. India is a supported Gemini country and is not among Xero’s exclusions, which are the UK, the EEA, Switzerland and Nigeria.

Can Gemini Send Invoices or Reminders From Xero?

Actions such as issuing an invoice or sending a payment reminder require your explicit confirmation in the connected app before they run. Scheduled follow-ups using Gmail are announced as coming soon for eligible plans.

Does Google Train Gemini on My Xero Data?

Xero says its data is not used to train Gemini models and that shared financial information is used only for your session, under your existing Gemini and Gmail controls.

Which Xero Plan Do I Need for the Gemini App?

The only plan condition Xero has attached is that the upcoming tasks feature needs an “eligible plan”. In practice, the Early plan’s 20-invoice cap makes Growing ($59 a month in the US) the sensible starting point for receivables work.

Can Accountants Switch Between Client Files in Gemini?

Yes. Xero says one sign-in connects a practice’s client portfolio, and accountants can move between client organisations without leaving Gemini.
